MCSL Team Reps Meeting Minutes

1. Call to Order: Meeting
was called to order by President Sally MacKenzie at 8:05 at the Executive
Office Building Cafeteria in Rockville. Reps from 57 of 89 teams were in
attendance.
2. Vendor
Presentations: Sally introduced Joe Flaherty of Joe Flaherty Dolphins, one
of the MCSL advertisers for 2008. Joe discussed the services his business makes
available to all MCSL teams and distributed information to all teams.
3. Board
introductions: Each MCSL board members introduced him/herself and various
roles served to the League.
4. Around the Table
Website - Bob Hincke (Web@MCSL.org)
- Requests
that each team review its Team Data listed on the website and send any
updated information (what should be added as well as what should be
removed) as soon as possible to him at web@mcsl.org.
Please note that if “BAD” appears in front of email column, the email
address listed is not valid and must be updated. Updates to all Team Data
should be sent no later than April 1 to be included in the printed 2008
League Handbook.
Awards -- Debi Mengering

- Debi
has All Star ribbons from last year for Tanglewood & Wildwood and
asked that reps from these teams arrange to pick them up at next month’s meeting.
- 2008 B
ribbons may increase in price. She will accept orders for B ribbons in
March and April, with ribbons to be delivered at May Reps meeting.
Officials – Denice
Wepasnick (Clinics@MCSL.org)
- Officials
clinics have been arranged thus far at the following times &
locations:
- May 29, 8am , Olney, advanced referee – all current
referees needing to recertify
- June 1,
8am, Olney, full clinic – starter, referee & S&T
- June 8,
8am – Olney, full clinic – starter, referee & S&T
All clinics
will end no later than noon.
- Another
clinic is to be scheduled in late June at North Creek
- Please
note the following about certifications:
-
Before beginning referee certification process, you must first be certified as S&T
- All USS/PVS
officials certifications transfer to MCSL except referee
- Anyone
currently USS/PVS certified should send current certification info to web@mcsl.org so that information can be listed
on MCSL officials list
- All
officials must re-certify every 2 years
- Website
to be updated with officials by division within this week. Please be sure to look it over to make
sure your team’s information is correct.

Rules -- Dave
Mengering (Rules@MCSL.org)
- Any
swimmer looking to transfer teams who hasn’t moved within past two years
must submit a request to rules@mcsl.org.
Specifics about this rule are on page 50 of 2007 Handbook. Responses to
transfer requests will be sent by June 1.
- Any
new rule considerations should be sent to Dave at rules@mcsl.org and will be considered at
end of season for implementation in 2009.
- No new
rule considerations were submitted for 2008.
Treasurer -- Jim
Gardner (Treasurer@MCSL.org)
- SSL
hours – MCSL is approved through MCPS to issue Student Service Learning
Hours to student volunteers. Teams interested in awarding SSL hours need
to send to Jim a copy of their insurance binder along with brief
description of what student volunteers will be doing. He then will provide
the number needed by county for form to be approved. The procedure for
this will be posted on the MCSL website within the month.
- Colorado
starting systems – any team in need of new starting system equipment,
including the starter unit, tripod, charger, extra speaker, etc. should
send their request to Jim. Costs are similar to last years.
- Coaches
Invitational Long course Meet – meet may start one hour earlier this year
to allow for a 30 minute intermission and warm-up for those swimming in
second half of meet.
- Budget
– Copies of the proposed 2008 League budget were available. The budget will be voted on at next
month’s meeting. Budget includes dues increase, as approved last year, as
well as increase in entry fees for All Star Individuals ($1 to $2) and All
Star Relays ($4-5). Jim reported that a major increase in advertising
revenue helped League, but dues increase is still necessary in preparation
for League’s next major software purchase.
Automation -- Linda
Raab (Automation@MCSL.org)
- Two
automation clinics have been scheduled
- June 1,
7-9pm, MLK
- June 10,
7-9pm Germantown
- No
Hytek software changes for this year.
- Teams are
encouraged to get their automation needs in order now – identify an
automation rep, and check that all software is intact. Replacement Meet
Manager CDs may be requested through Linda for $10 each. Team Manager CD
replacements must be purchased through Hytek (www.hy-tekltd.com).
Advertising -- Brian
Crilly & Lionel Bejean (Ads@MCSL.org)
- Thanks
to Joe Flaherty for being the first advertiser to submit his information
and payment for 2008.
- Advertisements
raised $10,000 in revenue to the league last year, so please show your
appreciation by supporting our advertisers.

“Booster” level of advertiser is available this year for $125 and includes
a business card size ad in Handbook.
- Complete

Secretary – Robbye

- To
ensure you receive meeting minutes & reminders, please be sure to send
updated contact information to web@mcsl.org.
- A Yahoo
group for team reps is being established this year for exchange of
information regarding various aspects of team management. All reps will be
invited to join the group via email sent within the month. Please be sure
to use site appropriately for positive exchange of information.

three rep meetings, reps are asked to sit together by division.
- At
April meeting, divisions will meet regarding location of divisional meets.
- At May
meeting, awards & handbooks will be distributed by division
50th
anniversary – Sally MacKenzie (President@MCSL.org) & Pam Ambrose (Pam.Ambrose@montgomerycountymd.gov)
- In
celebration of League’s 50th anniversary, we encourage teams to
hold their own Homecoming meets, perhaps @ first home meet
- Dave
Coyne, member of the 50th anniversary committee, is seeking contact
information on multi-generational family participants with at least 1
current swimmer for inclusion in press releases to be distributed
regarding anniversary. Send contact info to Dave Coyne at swimteamrep@glenwoodpool.org
- We’re
seeking old photos, programs, videos, etc. Contact Sally
- League
party/picnic to be organized by Becky Ellett Tener. More info to come.
- League
is creating a Virtual Hall of Fame to be posted on website and will
appoint an ad hoc committee to make selections from nominations. If you’re
interested in serving on committee, contact Sally. Potential inductees
include team members and volunteers who have made substantial
contributions to their team and to the league and may include record
holders, board members, officials, coaches, team reps, etc. Nominations
should be sent to Pam Ambrose (Pam.Ambose@montgomerycountymd.gov)
by June 12 and should include information on the nominee’s accomplishments
in the League. All nominated swimmers must be out of the league for a
minimum of five years. Inductees to be announced at Coaches Long Course
Meeting adjourned @ 8:50pm
