Montgomery County Swim League

Representatives Meeting

Minutes of March 13, 2003

Call to Order:  Bill Ferguson called the meeting to order at 8:00 pm.

Advertisers:  The following MCSL Handbook advertisers gave presentations to the membership:

                        Joe Flaherty’s Dolphins

                        My Swimming Album

                        Aardvark Swim & Sport

                        Capitol Sport & Swim

                        University Rho & Swim

                        Underwater Wear

                        Victor Swim Wear

Please support our advertisers.  Their support helps us fund our programs.

Adapted swimming: Don Riedlinger from PVS discussed welcoming swimmers with permanent disabilities onto our summer teams.

Treasurer’s report:  The budget was presented and adopted.  Team bills were distributed—please get your dues payments in promptly.

Automation:  Teams will need to upgrade their Team Manager programs—contact Hy-Tek.  Since the website is a little confusing, it might be best to call them toll free at 1-866-456-5111.    In May teams should download the most recent version of Meet Manager.  The download is free.  Start now to identify your team automation people.  We will be having automation training again this year in early June. The automation handbook will be posted on the web soon.

Handbook:  If you find errors in the handbook, please email them ASAP to automation@mcsl.org.

Team and pool information:  Please check your team listing on the web—pool address and phone number as well as reps and coach information.  Send updates as you have them to web@mcsl.org.  Tell us whom to add, but also whom to delete, even if you don’t yet have a replacement.  You may send updated information for the web at any time; however, the deadline for information to be included in the handbook is April 1 (note change from last month’s minutes).

Officials’ Clinics:   Some of the clinic dates have been set.  The clinic for people who are already certified, experienced referees is Thursday, May 29 at 7pm.  No one who is not already certified as a referee will be able to attend this clinic.  Anyone who is certified but not very confident in this role may also want to attend a full service clinic instead.  The full clinics are Sunday, June 1 and Sunday, June 8, both at 8am.  Another full clinic and a stroke and turn only clinic are still to be scheduled.  Clinics last for approximately 3 hours—please be sure people attending are aware of that time commitment.  We accept PVS certification for starter and for stroke and turn judge.  Please remember that to be certified as a referee, an individual must already be certified in stroke and turn.

Official certification:  The list of certified officials is on the web by team.  You can check there to see what year an individual’s certification expires.  If you think that a person from your team is currently certified, but does not appear on the web, contact Peg Hincke.  Sometimes the certification cards turned in after the clinics are hard to read and it is possible that an individual’s name was misspelled or attributed to the wrong team.

“B” meets:  Order forms for “B” meet ribbons, finisher ribbons, and personal best ribbons are available from Tracey Glass.  Teams trying to round out their “B” meet schedules can contact Mike Kelley (mentor@mcsl.org).

Starting systems:   If you want to purchase a new Colorado system or the practice system demonstrated by University Rho and Swim at the February meeting, contact Jim Garner (competition@mcsl.org).  Email him your team name, team address, and a shipping address.  Also contact Jim if you are interested in attending a Colorado tune-up clinic.

“O” Division:  Mike Kelley explained that “O” Division has only five teams which will leave each team with a bye.  Mike would like large teams to contact him if they are interested in fielding a team of their “B” swimmers to swim one of the “O” teams on a Saturday morning.  It is also possible that an established team who is considering entering our league might be invited to fill the open slot in “O” division.

Mentoring:  Any team having difficulties can contact Mike Kelley.  Besides helping new teams enter the MCSL, he can help established teams keep their organization going.

Rule Changes:  The by-laws were amended by a more than two-thirds vote to move the Annual Meeting from September to July.  The reps also voted to let the Board decide whether a new team will be admitted to the League.

Next Meeting:  The next meeting will be held at the Executive Office Building cafeteria on Thursday, April 10, 2003, 8:00 pm.  This is the meeting where the divisions determine which teams will host the big meets, so please come prepared.

Respectfully submitted,

Sally MacKenzie
