Representatives Meeting
Minutes of February 13, 2003
Call to Order: Marty Cohen called the meeting to order at 8:00 pm.

Coaches Invitational Long Course meet: Our long course meet this year will be dedicated to Sarah Auer, the Poolesville coach who was killed in a traffic accident in December.
Topics for consideration: The board is asking teams to consider a number of issues over the season and offer their input.
1. Handbook—Should we remove the divisional and All Star results from the handbook and put that information only on the web?
2. Swim up rule—There has been some confusion about this rule. We will be posting various options on the web for teams to consider. Please be sure to include your coaches in this discussion.
3. Rules rewrite—The MCSL rules are in need of reorganization. We will be posting a draft rewrite later in the spring for teams to review and comment on.
Treasurer’s Report: The budget was presented. It will be voted on at the March meeting. Team bills will also be distributed in March. We had some trouble last year with delinquent payments—please get your dues payments in on time.
Automation: Teams will need to upgrade to Team Manager III—contact Hy-Tek through their website (hy-tekltd.com) or by phone (252-633-5111). The cost should only be about $20. Be sure to tell Hy-Tek you are an MCSL team and give them your team name. In May teams should download the most recent version of Meet Manager. The download is free. Start now to identify your team automation people. We will be having automation training again this year, probably in June.
Handbook: If you find typos in the handbook, please email them to automation@mcsl.org.
Team and pool information: Please check your team listing on the web—pool address and phone number as well as reps and coach information. Send updates as you have them to web@mcls.org. You don’t have to wait until you have all the information—send what you do have as it comes in. Tell us whom to add, but also whom to delete, even if you don’t yet have a replacement; for example, if you know that last year’s coach is not returning, tell us to delete his/her information (and spare the former coach’s family phone calls during the season because incorrect information was published in the handbook). You may send updated information for the web at any time; however, the deadline for information to be included in the handbook is the April MCSL meeting (Thursday, April 10).
“O” Division: Mike Kelley explained that “O” Division has only five teams which will leave each team with a bye. Mike will help teams find another team to swim to complete their schedules.
Mentoring: If any team is having difficulties, the team reps can contact Mike Kelley. In addition to helping new teams enter the MCSL, he can help established teams keep their organization going.
Rule Changes: The rule clarifications were discussed and will be posted on the web. The reps raised the possibility of a conflict with the July meeting and Relay Carnival.
Next Meeting: The next meeting will be held at the Executive Office Building cafeteria on Thursday, March13, 2003, 8:00 pm.
